Operations Assistant

This is a hybrid role that blends event support, communications, and administrative tasks. The ideal candidate is organized, reliable, and energized by a fast-paced, creative (and most importantly) FUN environment. While much of the role supports day-to-day operations and outreach, it also provides vital public-facing support during events and open hours.

Hourly Pay: $15–18/hour, depending on experience
Part-time (with potential to grow)
Requires: Availability for at least 1-2 Saturdays/month, evenings, and some Sundays when events are scheduled.

About ART321

ART321 is a nonprofit organization with a 100-year history of supporting and celebrating artists in Wyoming. We host exhibitions, events, and creative programs that foster creativity, connection, and community. This position plays a key role in helping things run smoothly—especially during events, evenings, and weekends—while also supporting behind-the-scenes operations that keep ART321 thriving.

Key Responsibilities

Administrative & Communications

  • Scan and organize physical and digital documents

  • Process incoming and outgoing mail

  • Maintain accurate donor and membership records

  • Assist with CRM updates and database cleanup

  • Post regularly on social media and assist with digital content

  • Help update the ART321 website and monthly e-newsletters

  • Distribute posters and promotional materials to community partners

Event & Community Support

  • Assist with planning and staffing for events, such as:

    • ArtWalk & opening receptions

    • Engagement events 

    • Fundraising events

  • Provide logistical support for community outreach and engagement events

  • Greet guests and provide support during public events and busier open hours when needed

  • Help coordinate and communicate with event volunteers

Cross-Departmental Support

  • Provide support to the Executive Director as needed

  • Assist the Gallery team with exhibit prep, artist communications, and special projects

  • Support the Education department with classroom organization, outreach, and student exhibits

  • Represent ART 321 on outside committees and help coordinate collaborative efforts

  • Other duties as needed

Clay Studio Support

  • Ceramics or kiln experience is a plus! As ART 321’s clay programs expand, this role may grow to include support for open studios, workshops, or clay supply sales.

  • Friendly, dependable, and community-minded

  • Good people skills

  • Organized with strong communication and multitasking skills

  • Comfortable with Google Suite, Google Drive, Canva, and social media platforms

  • Able to work independently and take initiative

  • Physically able to lift up to 40 lbs. and be on your feet for up to 6 hours on concrete

  • Flexible schedule with reliable availability for weekends and evenings

  • Bonus: experience in ceramics, volunteer coordination, or nonprofit events
